Microsoft 365 Copilot adoption planning checklist

Gather your team and use this checklist to begin your planning process. Import it into Microsoft Lists or add additional content as needed in your organization. Click here to download this checklist in Excel.

  1. Identify technology enablement team members: Identify adoption specialist/user experience staff, IT technical staff, executives, and other stakeholders for the core team.
  2. Participate in an Art of the Possible workshop: Understand the key capabilities of Microsoft 365 Copilot and prioritize business scenarios.
  3. Design user experience strategy including end user support and readiness communications plan: Use Microsoft documentation and Copilot Center of Excellence for design guidance.
  4. Complete technical readiness work including configuration of Center of Excellence: Prepare tenant for healthy deployment per Microsoft recommendations.
  5. Select early adopter/rapid deployment program users: Select employees who will use new capabilities and share feedback
  6. Train Copilot Flight Crew (Champions): Onboard and train peer to peer Champion team to provide support and guidance during end user onboarding and initial usage of Copilot features.
  7. Schedule learning series activities: “Copilot for You” and “Copilot for your Team” hands-on learning series with Copilot Prompt Gallery, followed by per app and AI-ready scenario sessions. Schedule office hours for support and prompt sharing.
  8. Deploy licenses: Manage in the Microsoft admin center.
  9. Schedule executive onboarding: White glove onboarding sessions for executives.
  10. Kick off user communications series with a welcome email from executive stakeholder and invite into the Community of Practice: Implement ongoing communications to new users to drive learning series attendance, community engagement and product usage.
  11. Schedule feedback roundtables and community calls: Provide employee only opportunities to provide feedback on Copilot features.
  12. Review Adoption Score reporting with enablement team and executive stakeholders: Establish collaboration best practice baselines; drive meaningful awareness of success.
  13. Create feedback analysis workstream: Participate in internal and Microsoft-led feedback sessions.
  14. Implement executive white glove sessions: Invite executive level staff to thought.
  15. Conduct service health review: Review service usage & health against selected AI-ready scenarios and support ticket volumes and open issues. Validate AI-ready roadmap.
  16. Nominate success stories: Identify successful scenarios that have been impacted by Copilot usage to share.
